Matrix system updates take place often. This area will serve to keep you up to date!

The updates listed are comprised of system improvements and approved suggestions by the CarolinaMLS Board of Directors, CarolinaMLS/NCMMLS Advisory Group and/or CarolinaMLS/NCMMLS staff.  If you have a suggestion, please send your detailed request by email to [email protected].

 



April - June 2017

  • The “Approx Acres” field in the Single Family category now only accepts numbers greater than “0”.
  • When a selection is made in the “Green Certification” field Matrix will now display a warning when the listing is saved stating that the certification document must be uploaded to the “Attachments” section of the listing.
  • When a value is entered in the “HERS Index” field Matrix will now display a warning when the listing is saved stating that the HERS Index certification document must be uploaded to the “Attachments” section of the listing.
  • The “Rentals” property category has now been brought in line with the other categories in the MLS, with the following field additions:

  • The following changes have been made in the Multi-Family property category:
    • Construction Type” and “Total HLA” are now required
    • The “Block/Section” field has been added
    • Patio” has been added as an option in the “Porch” field
    • Brick-Solid” has been added as an option in the “Exterior Construction” field
    • Generator” has been added as an option in the “Equipment” field
  • The following changes have been made in the Commercial property category:
    • The “Suitable Use” field is now required
    • The “Restrictions” field is now required
    • The “Foundation” field has been changed from required to optional

March 2017

  • The “Open House” option has been removed from “Incomplete” status listings to ensure compliance with the new Coming Soon-No Show status policy. 
  • Initial CDOM values for listings that change from Coming Soon-No Show to Active are now being assigned correctly.

  • The “Flooring” field had two entries for “Tile;” these have been combined into one.

  • The “Commercial Heating” field had two entries for “Propane;” these have been combined into one.

  • A new field called “MLS Staff Remarks”.  From time to time, MLS staff is asked to correct information on “Closed” status listings.  In order to prevent confusion when closed listings are used in appraisals and CMAs, these edits will be notated in this field, which appears at the bottom of the “Remarks” section of the “Agent Full” display in all categories.  It will not appear on any other displays, for agents or clients.

  • An icon has been added to the map legend for Coming Soon-No Show status listings.


August 2016 – February 2017

  • Options for “Porch”, “Porch-Covered”, “Porch-Glass” and “Porch-Screened” have been migrated to the “Porch” field and removed from the “Exterior Features” field.

  • $/Acre” has been added as column to the Lots/Acres/Farms Quick CMA.

  • Firm license number has been added to Agent and Office displays.

  • Auto-Email updates:

    • “Recurring emails” now link the photo preview and the MLS number in the email to the “Portal Full” display for that listing on the Client Portal page.

    • “Welcome emails” now expire (and disable the search) if un-clicked by the contact within 30 days (previously 90 days). A warning email is sent to the agent if the contact has not access this email within 23 days.

    • Auto-emails now expire if the contact does not access a “Recurring email” for 180 consecutive days (previously 90 days). Warning emails are sent to the agent at 90 days and 173 days.

    • Default “Welcome email” text has been updated.

  • Matrix Mobile now supports editing listings – Price changes, status changes, and changes to the remarks.

  • GoCarolinaMLS and GoNCMMLS now support editing listings – Price changes, status changes and changes to the remarks.

  • The Matrix “Home” tab now has a widget for the “Listing Data Checker”.This allows agents to see current and past violations on their listings, and allows the Member Participant to view violations on all listings in the office.

  • A new option for searching is available in “Additional Fields” – “Room Level Details”.This allows for searching for details on a specific level of the home – a room, bedroom count, or bathroom count.Up to five separate lines of criteria can be used.

  • Using “Fill From Realist Tax” to create a new listing in Union County no longer auto-populates the “Zoning” field (all other counties still populate zoning).

  • Co-Listing agents now have access to “Share” listings via the “My Listings” page.

  • The "Exterior Features" field now has options for “Wired Internet Available” and “Satellite Internet Available”.

  • Existing item “g-On-Demand Water Heater” has been moved from “Heating” to “Water Heater”.

  • Existing items “Sidewalks” and “Streetlights” have been moved from “Street” to “Community Features”.

  • The existing item “Garage – 3+ Car” in the "Parking" field has been renamed “Garage – 4+ Car”.

  • Agent Designations have been added to the Full display for Agent records.

  • County” has been added to the “Search” widget on the Matrix “Home” tab, replacing the “MLS” field.

  • Listings in “Application Received” status are now displayed on the “My Under Contract Listings” and “My Office Under Contract Listings” selections on the “My Listings” page.

  • When using the “Fill From Cross Property” option to fill a new record, all fields on the “Remarks” tab now populate from the previous listing.

  • The “Office Production Report” (visible only to brokers-in-charge) now includes listings where the BIC’s office was either the co-listing or co-selling office.

  • The “Client Full” and “Portal Full” displays now include all “2nd Living Quarters” information.

  • Restrictions” and “Restrictions Description” have been added to the Lots/Acres/Farms “Agent Full” display.

  • The “Main Level Garage” field has been added to “Unlisted Buyer Agent Sales”.

  • Three more custom fields have been added to the subject property information in the CMA Wizard.To accommodate these fields, “Community Features”, “Equipment” and “Heating” have been removed from the default CMA fields list.

  • “Coming Soon No-Show” status has been added to Matrix.

  • The “Listing Contract Date” input field has been moved from the “Listing Agent and Listing Office” tab of the input page to the “Status” tab of the input page.This field has been re-named “Marketing Date” throughout Matrix in order to bring the MLS in line with the North Carolina Exclusive Right to Sell Listing Agreement.

  • Transaction Brokerage Comp” and “Transaction Brokerage Comp Type” fields have been added to all listing categories.These options are required for all listings where State = South Carolina.

  • The “Co-Selling Agent ID” field has been added to the “Rental” category.

  • The “Restrictions” field is now required for the “Lots/Acres/Farms” category. Options for “No Restrictions” and “No Representation” have been added to this field.

  • “Coming Soon No-Show” status listings are now visible in GoCarolinaMLS and GoNCMMLS only when logged in as an agent

  • The new optional field “Accessibility Features” has been added to all categories except Lots/Acres/Farms.

 


 

July 2016

  • New options "Additional Provisions Add." and "Minderal, Oil and Gas Rights Disclosure" has been added to the list of Attachments Types.

May 2016

  • New field “Main Level Garage” is now available for the property categories Single Family, Condo/Townhouse, MultiFamily, and Rentals.  This is a required field.  The main level is typically the level with front entry to the dwelling.  If the garage is not on the same level as the front entry to the dwelling, then “no” is the appropriate answer to the “Main Level Garage” field.  

 

April 2016

  • The NCMMLS Only field "Lock Box Number" has been removed from the MLS system.  This field is no longer required or available.
     
  • New residential flier display/report available.  The "Flier" display is now an available option for viewing or printing your residential listings.

 

March 2016

  • New option "Concierge" has been added to the field "Community features" for property category Condo/Townhouse.
     
  • Existing field "Units Level in Building" for the property category Condo/Townhouse is now a required field.
     
  • IDX Configuration has a new form display - IDX Photo Single Line.  This display has listing information in a single line view with the exterior photo.
     

 


February 2016

  • Beginning Feb. 25, buyer agents (CarolinaMLS and NC Mountains MLS) can report a closed sale for property that was not listed for sale in Matrix. The new “Unlisted Buyer Agent Sale” option will be available in Add/Edit for single family, condo/townhouse, lots/acres/farms, multifamily and commercial.  Read the specific rules that must be followed to input an “Unlisted Buyer Agent Sale,” as well as additional rule changes for withheld listings.  Click here to access the Matrix Minute on "How to enter an Unlisted Buyer Agent Sale"

  • Clicking on the agents name from a listing will now display a link to "My Active Listings" which will display a list of the agents active listings.
     
  • Existing field “Subject to HOA” has been updated from a Yes or No field to a multi-select with the options "None," "Optional," or "Required."  Exisiting listings with "Subject to HOA" equal to Yes has been mapped to Required, and listings equal to No has been mapped to None. This field is also now required.
     
  • New field “HOA Email” is now available for the property categories Single Family, Condo/Townhouse, Multi-Family, and Lots/Acres/Farm.  This is not a required field.
     
  • New option "Laminate Stone" has been added to the field "Flooring" for property categories SingleFamily, Condo/Townhouse and MultiFamily.
     
  • New option "Laminate Wood" has been added to the field "Flooring" for property categories SingleFamily, Condo/Townhouse and MultiFamily.
     
  • Existing option "Ceramic Tile" has been renamed to "Tile" under the field "Flooring" for property categories SingleFamily and Condo/Townhouse.  Tile implies a natural product, i.e. stone, marble, ceramic and porcelain.
     
  • Existing option "Laminate" has been renamed to "Laminate Tile" under the field "Flooring" for property categories SingleFamily, Condo/Townhouse and MultiFamily.
     
  • New option "Beachfront" has been added to the field "Lot Description" for property categories SingleFamily, Condo/Townhouse and MultiFamily.
     
  • New option "Golf Cart Garage" has been added to the field "Parking" for property categories SingleFamily, Condo/Townhouse, MultiFamily and Rentals.
     
  • NC Mountains MLS ONLY - Zoning  (NC Mountains) -- The NCMMLS zoning field is back!  It is required under the “NCMMLS Only” section when adding a listing.  Old zoning data from Innovia will be imported into Matrix if possible.
     
  • NC Mountains MLS ONLY -Tax Amount  (NC Mountains) – Tax amount is back!  “Tax Amount NCM” is now available and is required under the “NCMMLS Only” section when adding a listing for all property types except Rentals.  The “Tax Amount NCM” field requires a total of all applicable taxes, i.e., city, county, township, fire. Keep in mind that Realist may not factor in all applicable taxes, and listing agents may need to refer to other sources to determine the total tax amount for the property. Old tax amount data will not be transferred from Innovia to Matrix. Also, the “Tax Amount NCM” field will not be grandfathered, which means it must be completed before making any edits or status changes to existing listings. 
  • Exisiting field Foundation is now a required field for all property types except Rentals.
     

January 2016

 

  • New option "Circular/Dome" added to the field "Style" (Architectural Style) for available for property categories SingleFamily, Condo/Townhouse and MultiFamily.

     
  • New required field "Publicly Maintained Road" with options “Yes” or “No” is now available for all property categories except Rentals.
    • ​​“Publicly Maintained Road Y/N” indicates whether the road that serves the property is maintained by the state, municipal or county department of transportation (DOT), or is a private road, maintained by the developer, the HOA or the homeowners as a whole. If you do not know whether the road is publicly maintained, contact the local department of transportation.
       
  • Exisiting option Craftmans has been updated to Arts and Crafts as part of the Style field for Single Family, Condo/Townhouse and MultiFamily.

 

  • New option "Apollo System" added to field "HVAC" (Heating) for property categories SingleFamily, Condo/Townhouse, MultiFamily, Lots/Acres/Farm and Commercial.

 

  • New option "Fractional Ownership" added to field "Special Conditions" for property categories Single Family, Condo/Townhouse, Multi-Family, Lots/Acres/Farm and Commercial.  
    • Fractional listings:  The MLS will accept fractional listings, but not timeshare listings.  A fractional listing is defined as a listing where the buyer receives a recorded deed for a share of the property, while a timeshare listing is defined as a listing where the buyer receives a right to use the property, but not own any portion of the property itself.  Legal restrictions can apply to fractional ownership, including state real estate law, private deed restrictions and federal/state securities law.  If a Participant chooses to enter a fractional listing into the MLS, (i) “Fractional Ownership” under the “Special Conditions” field must be selected, and (ii) the number of shares or amount of ownership must be expressed as either a percentage or a fraction (for example: “Fractional ownership of 75%” or “Fractional ownership of ¾”) in the first line of the “Public Remarks” field. Shares of an LLC cannot be listed in NCMMLS, because the sale of shares of an LLC involves legal situations that are not typical of real estate sales.
  • Auto emails display the listing updates in a thumbnail preview in the body of the email.  Here is what you should know about the new thumbnail previews:

    • The new auto email thumbnail preview will only display the first five listings updates.
    • The new auto email thumbnail preview will not appear in the initial email, only the recurring emails.
    • There is a thumbnail view available on the client portal under the “Display” option.

  • Statistical Analysis Module (SAM) has a filter for MLS.  You can either select CarolinaMLS or NCMMLS.

 


November 2015

 

  • Street Types with the option "None" selected now displays a blank space instead of "none" after the street name.

 

  • The field "Green Certification" option NC Healthy Built Homes has been updated to Green Built North Carolina

  • October 1st NC Mountains MLS (NCNMMLS) members have access to add and update listings in Matrix  

 

  • New options "Riverfront" and "Creekfront" have been added to the field "Lot Description".  These options were part of the NCMMLS conversion, at first these options did not make it into the conversion.  After further consideration they were re-introduced.  NCMMMLS listings with these options have been back-filled.
     
  • NC Mountains MLS mobile app "Go NCMMLS" is now available!  This does not replace the web based Matrix™ mobile version.  It’s the new mobile app that extends your MLS account to your smartphone or tablet and seamlessly connects to your MLS account to boost your productivity on the go and empower real time collaboration with clients. If you’re ready to get started, download from Apple® App Store or Google Play™ Store.  Search for the “GoNCMMLS" app.

  • CarolinaMLS and NC Mountains MLS (NCNMMLS) data conversion   The data conversion added new fields and options for CarolinaMLS members and merged NC Mountains MLS fields into existing Matrix fields (some fields were dropped from the NCMMLS previous system). The updated property data forms (available under "Resource" tab, MLS Forms ) have the conversion new fields and options. (R) denotes the fields are required.
    • New fields to CarolinaMLS: 
      • Residential (Single Family, Condo/Townhouse): Elevation, Access, Construction Type(R), Porch, Street, Concessions, Roof
      • Multi-Family: Elevation, Access, Construction Type (R), Monthly Rent, Porch, Street, Pets Allowed, Unheated SqFt
      • Lots/Acres/Farm: Elevation, Access, Construction Type, Utilities Commercial, Road Frontage, Acres Cleared, Acres Wooded, Improvements, Suitable Use (R), Street, Concessions, Bedroom Septic

    • Search fields new to both CarolinaMLS and NCMMLS:
      • New search fields “MLS” and “Board” with options that will allow searches to include or exclude an entire set of MLS or Board search results.
    • NCMMLS search for listings in Matrix
      • When searching by MLS number (even when attempting to edit a listing by MLS# under Add/Edit) for listings that came over from InnoVia, we suggest adding an NCM in front of the MLS#; For example, NCM54321 
      • When searching by street address, enter the street number and street name followed by an asterisk (*); For example, 123 Main* or searching a specifc street name use Main*
      • NCM will only prepend listings from the previous system where the MLS#'s were the same.  Listings added to Matrix from Oct 1 going forward will no longer have NCM as part of the MLS#
      • NCM will prepend all NCMountainsMLS offices.
    • Reviewing a listing in full display next to the MLS# it will show "CMLS#:" or "NCMMLS#:", this will denote which MLS the listing is under.
    • As a result of the conversion duplicate listings are allowed(see July 2015 updates below), listing photos are mandatory, comparable listings can be entered into the MLS and Teams will be allowed.

 

  • The field "Primary Residence YN" has been removed due to this field no longer being used on the Exclusive Right to Sell Listng Agreement. 
     
  • CarolinaMLS mobile app "Go CarolinaMLS" is now available!  This does not replace the web based Matrix™ mobile version.  It’s the new mobile app that extends your MLS account to your smartphone or tablet and seamlessly connects to your MLS account to boost your productivity on the go and empower real time collaboration with clients.   • Three new fields for 2nd Living Quarters (2ndLQ) have been added to the property category Single Family. Read more about how to use “2nd Living Quarters.”

    • "2nd LQ HLA" - not included in Total HLA

    • "2nd LQ Unheated" - not included in Total Unheated

    • "2nd LQ" - previous 2nd LQ options have been merged into this field.

  • Listing Photos Required: Effective July 6, CarolinaMLS will require at least one digital image (photo/plat map/rendering) of each property listed immediately after submitting a listing as “Active.”  Therefore, CarolinaMLS will enforce the new policy by using Listing Data Checker to identify listings without a photo 24 hours (including holidays and weekends) after the listing is submitted as “Active,” and will issue a $100 fine if a photo is not provided with 48 hours (including holidays and weekends).

    *Photos for the Lots/Acres/Farms property category are not required.

    **A seller’s written request for no photo should be available for review if requested by CarolinaMLS staff.
     

  • Duplicate listings allowed under limited circumstances beginning July 6  Click here for more information on limited circumstances
     

  • New field “Ownership Type” with options “Co-op,” “Condo,” “Townhouse,” and “Other” is now available for the property category Condo/Townhouse.

May 2015

  • New option "Weekly" added to field "Lease Term"  for the property category Rentals. 
     

  • New options "Propane," and "Natural Gas" added to:

    • field "HVAC" for the property categories SingleFamily, Condo/Townhouse, MultiFamily, Commercial, and Rentals.

    • field "Equipment" for the property categories SingleFamily, Condo/Townhouse, MultiFamily, and Rentals.

    • field "Water Heater" for the property categories SingleFamily, Condo/Townhouse, and MultiFamily.

    • field "Fireplace Location" for the property categories Single Family, Condo/Townhouse, Multi-Family, and Rentals

 


April 2015

  • New field "Proposed Completion Date" has been added to the Matrix system for property categories Single Family, Condo/Townhouse and Multi-Family.  “Proposed Completion Date,” becomes a required field if “Under Construction” is selected in the “Construction Status” field.  The purpose of the “Proposed Completion Date” field is to help agents gauge the stage of construction of the house.  In addition, CarolinaMLS will send a reminder email to listing brokers when the “Proposed Completion Date” has been reached.

  • New field "RATIO Tax Amount by List Price" has been added to the Matrix system for the ability to search and display the percentage difference between the list price and tax amount (tax value).

  • ShowingTime implemented the following system changes at the request of the CarolinaMLS Board of Directors:

    • Removed the Activity on Comparables Report due to potential conflict with the North Carolina Real Estate Commission’s Designated Dual Agency guidelines. More specifically, the North Carolina Real Estate Manual states that the firm in which Designated Dual Agency is practiced is to establish internal office procedures which minimize the possibility of confidential information about one client from accidentally falling into the hands of the designated agent for the other client in the same transaction.   

    • Completely disabled the auto-login functionality of the “Click to Manage Feedback” button on the Feedback Received email to require an agent enter login credentials to access their account.

       


March 2015

  • New option "Porch-Covered" added to field "Exterior Features"  for property categories Single Family, Condo/Townhouse, MultiFamily and Rentals. [Porch options in this field have moved over the field "Porch"  Feb 2016]

  • New field “Virtual Tour Branded” added to Matrix. CarolinaMLS has added a new field for listing agents to upload branded virtual tours in Matrix.  The “Virtual Tour Branded” field will work much like the “Syndication Remarks” field.  If provided, the branded virtual tour will be sent to third-party portals via ListHub or other partnerships.  The “Virtual Tour Branded” field is not subject to MLS rules regarding branding or advertising in a listing, but is subject to all other rules.  If no branded virtual tour is provided, data from the regular “Virtual Tour Unbranded” field will automatically be distributed instead.  

  • Updated field restriction for Expire Date.  Once a listing is submitted as Active status a modification to the Expire date can only change to a future date from the original date entered. 

 


February 2015

  • Matrix system version update from v6.7 to v6.10  This update includes:
    • Timeout Notification,
    • Driving directions now contain estimated drive time (provided by INRIX DriveTime),
    • Auto Email - Initial and Reccuring Email Text Defaulted,
    • Email Signature allows more formatting (ability to add images and links),

  • Property data forms (listing input sheet) have been updated to accommodate recent fields and options added.  The updated forms can be found under Resources - CarolinaMLS Forms.
     
  • CarolinaMLS End User License Agreement has been updated to clarify changes when a listing brokerage sends their copyrighted material to CarolinaMLS (photos, remarks, etc.), they give us a “license” to use the material in the MLS system and everywhere the CarolinaMLS Compilation is displayed (eg IDX, VOW websites).  The listing brokerage does not “assign” or give CarolinaMLS  the ownership rights in that data.  CarolinaMLS  only owns the copyright in the CarolinaMLS Compilation as a whole licenses it back to the end users to use in accordance with the CarolinaMLS Rules and Regulations.  Click here to review the CarolinaMLS End User License Agreement
     
  • New field "Green Building Features" with new options "g-Adv. Framing/Concrete Const.," "g-Engineered Wood Products," "g-No-Low VOC/Paints, Sealants, Varn," "g-Photovoltaic – Solar Power," "g-Recycled Const/Household Waste," "g-Spray Foam Insulation," "g-Xeriscaping-Drought Resist. Plnts" have been added for the property categories Single Family, Condo/Townhouse, and Multi-Family.  View a full description of the CarolinaMLS “green” fields.
     
  • Ecofriendly/energy-efficient items in existing fields have been tagged with the letter “g,” for example:  g-Active Solar Heat, g-Solar, g-Engineered Wood Products, etc. 
     
  • Agent Full and Client Full displays/reports show the "Room Level" and "HLA" levels in the following order:
    • Main
    • Upper
    • Third
    • Lower
    • Basement
    • 2LQ (2nd Living Quarters)

January 2015

  • New option "Subject to Lease" added to field "Special Conditions" for property categories SingleFamily, Condo/Townhouse, MultiFamily, Lots/Acres/Farm and Commercial.
  • New option "Business Center" added to field "Community Features" for property categories SingleFamily, Condo/Townhouse and MultiFamily.
  • New option "Baseboard Hot Water Heat" added to field "HVAC" for property categories SingleFamily, Condo/Townhouse, MultiFamily and Rentals.
     
  • New option "Laundry Chute" added to field "Interior Features" for property categories SingleFamily and Rentals.
  • Temp Off Market Listings are now editable under My Matrix - My Listings (or the home page My Listings widget).  Previously there was no edit option. 
  • The Zoning Description field option should not be required. The field Zoning should be required.  This has been fixed to show Zoning is now required for all property categories.

December 2014

  • Scroll bar showing on report when using Print to PDF.  This has been resolved.
  • The Postal Code (Zip Code) has been added to the HotSheets display.
  • Seller Financials input sheet has been updated to North Carolina standards 
  • Pets field (with options Yes, No, Conditional) have been added to the property category Condo/Townhouse.  This field previoulsy existed in the property category Rentals only

November 2014

  • New option "Construction/Perm Loan" added to field "Proposed Financing" for property categories Single Family, Condo/Townhouse, Multi-Family, Lots/Acres/Farm and Commercial.

October 2014

  • New options "Airplane Hangar" and "Runway Lot" added to field "Exterior Features" for property categories Single Family, Lots/Acres/Farm and Rentals.
